Prospect Statuses-What are they?

 

As Prospect’s journey starts, various phases and stages emerge. Knock’s commitment is to assist you in monitoring and managing this milestone. To do that, this resource is a great help in understanding the prospect’s stages inside our platform.

 

Prospects without Appointments:

New

> Prospects that are on New status mean they were recently created and are waiting for an initial communication from your leasing team.

Open

> Prospects that are on Open status mean that they’re an active prospect of the community.

> Open prospects can have 3 different To-Do indicators:

Red :red_circle: - means they require a follow-up from the last activity on their guest card.

Yellow :yellow_circle:- means will require follow-up soon.

Green :green_circle: - means a follow-up has been made.

 

Prospects with Appointments:

Waiting

> These are prospects who are waiting for their tour requests to be accepted. This status will only appear if you are allowing for In-Person tours but want to Manually review each request.

Booked

> If self-schedule is on, once a prospect sets their appointment, their guest card will show in this status.

> If self-schedule is off, once the leasing team approves the prospect’s appointment request, their guest card will show in this status.

Visited

> This status will automatically appear when a walk-in is documented or when an appointment is confirmed and completed by the leasing associate.

Canceled (Manager)

> When a leasing associate cancels an upcoming appointment, this status will be automatically updated.

Canceled (Renter)

> When the prospect cancels their upcoming appointment, this status will be automatically updated.

No Show

> The prospect card will automatically change to No Show when the lead doesn't show for their appointment, and you mark it as such under Appointments Pending Completion on the To-Do page.

 

Applicants with Lease Activity:

Applied (in review)

> This is a manual status to be used when you are in the process of completing a prospect's application.

> For Properties that use Realpage’s OneSite as their PMS and this is their lease stage, some fields on their guest card will no longer allow them to update information and instead will show them a message prompt “Go to OneSite to update this field”.

 

Applied (Leased)

> This status changes automatically when a lease-signed event happens in your PMS.

> For Properties that use Realpage’s OneSite as their PMS and this is their lease stage, some fields on their guest card will no longer allow them to update information and instead will show them a message prompt “Go to OneSite to update this field”.

Applied (Lost)

> Use this status when a lead applied with you but was lost before they moved in and the application was canceled.

 

Prospects that are no longer interested:

Lost

> Prospects that are on Lost status means they are no longer a viable lead and they will be removed from the follow-up cycle.

> When a prospect who was previously marked as "Lost" re-engages, the guest card will automatically be updated to "Open" status and will be included in the To-Do list.
