Save and Schedule Reports in Analytics

Overview

With our save feature located on each report, you can build out a report with the exact filters you want and save it to access later.

After saving a report, you can choose to schedule the report to be delivered regularly to the recipients of your choosing. There are a few nuances to the Scheduled Report functionality that are important to know.

  1. When you schedule a report, the recipient will receive only the data relevant to their account as defined in Admin on the Users and Admins pages. This matches the experience a user has when they try to access the Analytics application normally and protects sensitive data.
    1. If an email address entered in the recipients list is not listed in one of these pages then you will be prompted to remove that email from the list of recipients before you can save the scheduled report. 
  2. When you save and schedule a report by selecting 'All' for the 'Property' or 'Agent' filter, then the report will dynamically update the list of properties and agents included in the scheduled report. 

In the following sections, we will help guide you toward saving and scheduling your reports.

Saving a Report

To Save a Report

  1. Log into Knock Analytics from your Knock account or the URL analytics.knockcrm.com. 
  2. Choose which report you want to build off of and enter the filters you would like to use. 
  3. Once it's built out, select the star to save the reports to My Reports.Screenshot_2023-04-28_at_11.38.55_AM.png
  4. The report will now be available under My Reports.Screenshot_2023-04-28_at_11.43.04_AM.png
  5. On the My Reports page, you can take the following actions:
      1. Navigate to the report by selecting the report name.
      2. Delete the report from My Reports by selecting the trash can, after clicking on the report.

      3. Sort the reports by name, base reports, date created, and scheduled.

      4. Search for a specific report using the search bar on the top left and filter through the reports with the drill-down option.
      5. Schedule a report to be delivered on a daily, weekly, or monthly cadence. 

Scheduling a Report

Once a report is saved to the My Reports page, you can choose to schedule that report to be sent to specified recipients.

To schedule a report, follow the below instructions.

  1. Find the report you want to schedule and click on the 'edit' icon as seen in the below screenshot. 
  2. After clicking the edit icon, the below screen will show. On this page you will want to take fill in the following information: 
    1. Frequency (how often the report is to be sent): daily, weekly, or monthly.
    2. Day (the day the report is to be sent): Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, or Sunday. 
    3. Recipients: the email address of those who wish to receive the report. After entering an email address, you must hit 'enter' to save that email address as a recipient. 
    4. Subject: the title of the email that will be seen by the recipients.

  3. After entering the information detailed in Step 2, then you must select 'Save'.
