Centralized Leasing Binder

What is the Centralized Leasing Binder? Agents, especially centralized agents, may have to answer common and uncommon questions when speaking with prospects about properties. Some agents may not be on-site agents or even familiar with the area. In order to better serve prospects and increase close ratio, they need to speak knowledgeably to the properties and details that qualify renters.

We want to provide a quickly accessed, well designed leasing binder that holds important property information and insights allowing agents to quickly speak to those details. This Centralized Leasing Binder will be easily accessible while agents are speaking with prospects on-site, and over the phone using VoiceApp. They will also be able to visit other leasing binders that their user has access to in order to cross-sell and maintain momentum as a centralized agent.

 

How to navigate to the Centralized Leasing Binder:

The CLB can be accessed through two avenues:

1. Through the LMA > Properties as a new button.

2. Within a prospect’s guestcard in the action button bar. We believe a majority of users will use the binder through this path as they communicate from within the prospect guestcard.

CLB in Properties

Once the user has clicked the Centralized Leasing Binder button, the leasing binder will slide out from the right hand side of their screen. If the user clicks outside of the leasing binder space, the drawer will slide back and they can access the rest of the Properties page again.

The CLB data from the Properties page is the same data and interface that the user sees if they open the CLB through a guestcard. The “CLB in Guestcard” section will contain more in-depth information about these tabs.

  • Notes - a new feature that shows important notices about the property, as well as Key Selling Features (Location, Units, Community) highlighting aspects of the site

  • Overview - contains general information about the site such as property description, website, address, office hours, etc.

  • Amenities - will show users what amenities are available at the property

  • Leasing - shows users what lease terms are available at the property, as well as what fees and amounts the property charges.

 

CLB in a Guestcard

The user will need to open a prospect guestcard. The button to open the CLB will be found next to the create an Appt button in the action bar:

When opened, the CLB will slide out from the right hand side of the screen:

The user can navigate between properties that they are assigned to in the Property drop down menu. This will allow them to access the centralized leasing binder quickly for other site:

Leasing Binder Key Features:

Notes: This is a new feature that shows important notices about the property, as well as Key Selling Features (Location, Units, Community) highlighting aspects of the site. Both “Notice” and the Key Selling Features are configurable by admin users in Admin (see section on leasing binder data sources).

Overview: The overview tab contains general information about the site such as property description, website, address, office hours, etc., pulling from different sources in Admin.(see section on leasing binder data sources)

Amenities: The amenities tab will show users what amenities are available at the property. This information pulls from property amenities set up in Admin. (see section on leasing binder data sources)

Leasing: The leasing tab shows users what lease terms are available at the property, as well as what fees and amounts the property charges.  This information will pull from the property leasing information set up in Admin. (see section on leasing binder data sources).

At the bottom of the CLB, there are also buttons allowing the users to book a tour or view availability for the specific site they have selected.  If the user clicks the Book Tour button, the Leasing Binder will close and the Add Appointment modal will pop up. The user can then add an appointment as they would normally.  When clicking the Availability button, the Leasing Binder will close and the Unit Availability modal will pop up. The user can then review unit availability or create a quote as they would in normally in LMA.

Q: Should I see “Book Tour” and Availability” buttons in the Centralized Leasing Binder that I opened through Properties?

A: No, the Book Tour and Availability functionalities are only accessible through the CLB opened from a prospect’s guestcard. This is so agents who are actively working in a prospect’s guestcard and using VoiceApp can book tours or check availability without navigating outside of the binder!
